Service Usage Instructions

How to sign up for Paperless

Step 1. To sign a document online, go to the Paperless service website https://paperless.com.ua/en/.

Step 2. Fill in the sign up form and indicate:

  • Full name/company name;
  • email;
  • login password (minimum 6 characters).

Step 3. Click the "Sign up" button.

Step 4. A notification will be sent to your email. To confirm the sign up, click the "Confirm" button.

How to create and sign a document

Step 1. In your personal profile, click the "Download" button, select a file on your computer or drag it to the browser window in DOC, DOCX, ODT, RTF, XLS, XLSX, PDF format. Documents will be converted into PDF format and shown in Paperless.

Step 2. Open the document and click the "Sign" button in the upper right corner. Sign the document using one of the options: SmartID, QES or AES. Learn more in the instructions.

How to send a document to a counterparty?

Step 1. Open the document you need.

Step 2. Click the "Grant access" button.

Step 3. Enter the email of the addressee/counterparty/partner.

The addressee will get an email notification that the document has been created.

You will also get an email notification after the counterparty signs the document or writes a comment.

Multiple documents simultaneous actions

You can select several documents from the list in your personal profile. You will be able to do the following:

  • deleting documents;
  • assigning a label;
  • sending to a counterparty;
  • signing;
  • downloading.

What is the service cost?

In order to promote and develop electronic document sharing in Ukraine, the Paperless service is free of charge, regardless of the number of documents uploaded.

Is this e-signature service available only to PrivatBank customers?

No, anyone can use it.

What QES/AES keys does Paperless work with?

The service works with all accredited key certification centers in Ukraine.

I don't have the QES key to sign the document. What should I do?

Create your free SmartID signature.

Do I need to additionally coordinate with my partners the transition to a qualified electronic signature when concluding contracts?

The right to use a qualified electronic signature by the parties when concluding contracts in electronic form is provided for by the Civil Code of Ukraine, the Laws of Ukraine "On Electronic Trust Services" and "On Electronic Documents and Electronic Document Management", as well as other regulatory legal acts of Ukraine. Therefore, the use of QES does not require additional approval in the contract.

Can the Paperless service be used to submit reports in electronic form?

No. This service is only for sharing official documentation between partners (private entrepreneurs and legal entities) in electronic form. For reporting, please try PrivatBank's free service «Electronic Reporting»

How secure is storing documents on Paperless servers?

All documents are stored in triplicate on independent servers. Therefore, nothing will happen to them. Just in case, you can download documents to your computer.

Can documents with QES be used in court cases in the same way as paper ones?

Yes. To do this, a copy of the electronic document and a printed report on its verification shall be submitted to the court. Copies of these documents must be certified in accordance with the requirements of procedural legislation and record keeping rules, namely: make a mark "Copy" in the upper right corner of the first sheet of each document, as well as the inscription "According to the original" indicating the position, surname and initials of the person who certified copy (the person's signature is affixed with the seal of the enterprise or its structural unit).

Can the Paperless service be used to register tax invoices?

No. This service is only for sharing official documentation between partners in electronic form. For invoicing (issuing invoices for payment), registering tax invoices, getting certificates on payments with the budget, creating and sharing documents online, please try PrivatBank's free service "Electronic Document Management".

Can I download/upload documents from my accounting system?

Yes. You can do this using our free ”Integration” service.

Can this service be used to sign documents within the company?

Paperless is a document sharing system, not a document management system. The service does not have a logic for routing documents within the organization. The service is ideal for sharing documents and signing them using QES between organizations, but it also can be useful for quickly signing documents with an employee.

How to make sure the document is really signed with keys?

You can find information about signatures in the file viewer. The QES is formed in accordance with order No.1236/5/453 and can be verified by any software or service implementing this order. For example, czo.gov.ua or Accredited Key Certification Center of authorities of the Ministry of Justice of Ukraine.

Is an electronic copy of the document sufficient to be provided to the tax office in the event of an audit?

Yes, provided that the QES is on the document.

How many signatures can be applied to one document?

Technically, more than 10,000 signatures can be applied to a document.
